For retail and FMCGRetail and FMCG: orders, receivables and data without manual work
For FMCG companies we have automated more than ten finance, credit and HR processes. The library describes 76 solutions for manufacturers, distributors and retailers: from customer orders and credit limits, through complaints and returns, to product data and price lists across every channel. Of these, 45 are typical for the industry and 31 are processes shared by many industries.

Orders and receivables
Order captured, limit checked, cash on time
Customer orders in PDFs and emails, credit limits checked by hand, statuses the customer has to ask for, returns sorted out over several messages. The robot moves the order into the ERP, and cases that need a decision go to the right person.
Customer POs still get retyped from PDFs into SAP and confirmed hours later. Stop paying your order desk to type.
See the solution Customer serviceOrder status answered before the customer asksEvery third customer contact asks where an order is; the answer already sits in SAP and the carrier portal.
See the solution Management & planningOrder-to-cash process mining: where the cash gets stuckDSO sits above target and every department has a theory. Measure how many days each step actually costs.
See the solution Legal & complianceCounterparty screening: sanctions, VAT status, registersYour counterparty file was true on the day you checked it. Sanctions and VAT status moved after that.
See the solution Customer serviceReturns and refunds without a ping-pong of emailsThree weeks, two phone calls and eleven emails to give a customer their money back.

The same product data in every channel and stock that agrees
Product data and price lists that differ between channels, delivery confirmations chased by email, stock in the WMS and the ERP reconciled monthly instead of nightly. Plus carrier and third-party warehouse invoices checked line by line.
Stop retyping every new product and price change into the ERP, the PIM, the web shop and each marketplace.
See the solution Supply chainOrder confirmations and delivery dates chased automaticallyBuyers spend their mornings chasing suppliers for dates, and planners plan on dates that are already wrong.
See the solution Supply chainStock and incoming deliveries answered in Teams, instantlyA ten-second lookup costs two people ten minutes each, and by then the customer has asked somebody else.
See the solution Supply chainInventory that agrees: WMS and ERP reconciled every nightStop discovering at the cycle count, or when an order cannot ship, that the WMS and the ERP disagree.
See the solution Supply chainFreight invoice audit against rate cards and shipmentsCarrier invoices are checked on a sample and paid in full; the overbilled lines are the ones nobody opened.

Invoices, KSeF, discounts and cash
Supplier invoices retyped from PDFs, an accounts payable mailbox full of payment questions, KSeF statuses checked by hand. Plus the early-payment discount decision that depends on the cost of money, and the cash position assembled every morning from statements.
Stop paying your finance team to move numbers from PDFs into the ERP.
See the solution Finance & accountingThe AP mailbox sorted every hour, payment questions answeredYour suppliers ask a question your SAP already answers, and a person spends ten minutes typing it out.
See the solution Finance & accountingE‑invoicing (KSeF) submission and status reconciliationYour ERP sends invoices to KSeF. Who checks that each one came back with a UPO, and who fixes the ones that did not?
See the solution Finance & accountingDiscounts taken when they beat the cost of cashYour suppliers offer discounts. Your payment calendar decides whether you take them.
See the solution Finance & accountingThe daily cash position without the 7 a.m. spreadsheetStop building the daily cash number by hand from four bank portals; it arrives late and nobody quite trusts it.
See the solution Finance & accountingIntercompany balances that agree before the group closeYour entities disagree about what they owe each other, and the consolidation waits for an email.

Forecasts, partner rebates and store shifts
A sales forecast assembled from several spreadsheets, partner rebates and deal registration, campaign materials, sales commissions. Store networks with shift work add cover planning and payroll data from several systems.
Stop rebuilding the group forecast by hand from nine files that never agree.

How we work with retail and FMCG companies
Case studies and scenarios
What runs for FMCG clients
Case studies are client projects, described with confidentiality in mind. Scenarios are illustrative models with a calculation, described on an example company.
Robots took over registering and coding purchase invoices, integrated with SAP. Return on investment in 3 months.
See the case study in brief ScenarioOrder-to-Cash control towerFaster revenue realisation, lower DSO, full auditability of every decision.

Four steps from a call to a working robot
Pick one process
The one that takes people the most hours today or most often comes back with errors. The list on this page is a good starting point.
We measure it on your data
With several processes at once we use task mining and process mining (KYP.ai) to choose the one with the highest return from data.
Value model and implementation plan
Every solution in the library has an economic model to recalculate on your numbers and implementation stages from discovery to optimisation.
Go-live and support
We build, test and launch the solution in your environment, then support it under an SLA, with reporting on your side.
Frequently asked questions
Questions from retail and FMCG companies
Ten of them are described as a case study: VAT settlements, balance reconciliation, bank statements, credit limits, payment-term changes, collections, order release, P2P queries and two HR processes. The other solutions on this page are library descriptions with an illustrative model.
The processes in the FMCG case study work with SAP and ServiceNow. The VAT settlements covered several countries, and uniform rules across all markets were one of the results of automating credit decisions.
Yes, and we usually recommend it. Every solution in the library is a separate implementation with its own value model, so you can start with one and add the next once the first is running.
